Licensing Notion and Confluence wikis: the easiest company data to license

Quick answer

Your Notion or Confluence wiki is usually the easiest place to start. SOPs, playbooks, checklists and process docs are written by your own team, describe how work gets done, and hold little personal data. micro1 names SOPs and knowledge bases first in what it wants, and Mode lists Notion and Confluence among its sources. Leave out client pages, HR pages and anything with credentials.

01Why wikis come first

Most of what a company might license raises a question about someone else: a client's files, a customer's details, a colleague's messages. A wiki mostly doesn't. Your team wrote the SOPs, the playbooks describe processes rather than people, and there's little personal data in them. That makes it the lowest-risk place to start, and a quick way to see what programmes make of your company.

It's also exactly what the programmes ask for. micro1 lists SOPs, process documentation and internal knowledge bases first, and Mode names Notion and Confluence among its sources.

02What to include, and what to leave out

Notion and Confluence: usually licensable (SOPs and checklists; Playbooks and onboarding guides; Process docs and decision logs; Templates and frameworks) versus check first or leave out (Pages copied from clients; HR and people pages; Credentials and security notes; Third-party content you didn’t write).Usually licensableSOPs and checklistsPlaybooks and onboarding guidesProcess docs and decision logsTemplates and frameworksCheck first, or leave outPages copied from clientsHR and people pagesCredentials and security notesThird-party content you didn’t write
A starting point for scoping, not a legal test.

03Scoping your wiki

Scoping Notion or Confluence data in four steps: list spaces (pages and dates), tag owners (yours or client’s), strip people (and secrets), keep history (page versions).01List spacesPages and dates02Tag ownersYours or client’s03Strip peopleAnd secrets04Keep historyPage versions
Four steps before anything is shared. Agree the scope with the programme in writing.
  1. Export a space list with page counts and last-edited dates. Live, maintained spaces are worth more than abandoned ones.
  2. Tag pages by owner: yours, client-derived, or third-party.
  3. Strip people pages: HR policies are fine; pages about named individuals aren't.
  4. Search for secrets: passwords, API keys and connection strings often sit in old runbooks.
  5. Keep the history if you can. Page versions show how a process changed over time.

04What makes a wiki more valuable

  • Years of history
  • Linked to tickets and projects
  • Specialist processes
  • Consistent templates
  • Maintained, not abandoned

A wiki that links to the tickets and projects where its processes were used is worth more than one that stands alone, because it shows the method and the work together.

06Questions people ask

Why are SOPs the easiest data to license?

Your own team wrote them, they describe processes rather than people, and they rarely contain client material. That keeps the legal checks short.

Is a wiki worth anything on its own?

It's often the starting point rather than the whole licence. Programmes value it most alongside the records that show the processes in action, such as tickets or project histories.

Which programmes take wiki content?

micro1 lists SOPs and internal knowledge bases. Mode names Notion and Confluence among its sources. Mercor's listings are by business type, and several include documents.
