Licensing CRM data (Salesforce, HubSpot) for AI: is it yours to license?

Quick answer

Partly. Your CRM's patterns are yours: pipeline stages, deal outcomes, playbooks and sequences. micro1 asks for CRM records and Mode names Salesforce and HubSpot. But the contacts in it are people with rights under UK GDPR, and data bought or enriched from vendors usually comes with licence terms that bar resale. License the patterns, with the people removed, and leave out bought data.

01"It may not be yours to sell": the fair critique

The strongest objection to licensing CRM data is a fair one. A CRM is full of other people: prospects, customers and contacts who never agreed to have their details used to train AI. Some of it came from data vendors whose licences forbid passing it on. Both points are right, and they shape what you can license.

Where these records usually live

CRM

  • Salesforce
  • HubSpot
  • Pipedrive
  • Zoho CRM
  • Dynamics 365

Support

  • Zendesk
  • Intercom

Examples of common tools, to help you find your records. Product names and logos belong to their owners; no affiliation or endorsement.

02What's yours, and what isn't

CRM: usually licensable (Pipeline stages and deal outcomes; Sales playbooks and sequences; Activity patterns, people removed; Support case workflows) versus check first or leave out (Contacts’ names, emails and phones as-is; Notes about individuals; Data you bought or enriched from vendors; Anything a customer contract restricts).Usually licensablePipeline stages and deal outcomesSales playbooks and sequencesActivity patterns, people removedSupport case workflowsCheck first, or leave outContacts’ names, emails and phones as-isNotes about individualsData you bought or enriched from vendorsAnything a customer contract restricts
A starting point for scoping, not a legal test.
  • Yours: how you sell. Pipeline stages, win and loss patterns, sales playbooks, email sequences you wrote, support workflows.
  • Held, not owned: your contacts' personal data. Under UK GDPR you need a lawful basis for any new use, and people can object. See UK GDPR.
  • Someone else's: data bought or enriched from vendors. Their licence usually bars resale or onward use.

03How to scope CRM data

Scoping CRM data in four steps: export patterns (stages, outcomes), strip contacts (names, emails, notes), drop bought data (vendor-sourced fields), keep outcomes (win/loss, durations).01ExportpatternsStages, outcomes02Strip contactsNames, emails,notes03Drop boughtdataVendor-sourcedfields04Keep outcomesWin/loss, durations
Four steps before anything is shared. Agree the scope with the programme in writing.
  1. Remove the people. Names, emails, phone numbers, notes about individuals. What's left is the shape of your sales process.
  2. Drop vendor-sourced fields and records you can't trace to your own collection.
  3. Keep the outcomes: stages, durations, win/loss reasons, deal sizes in bands.
  4. Check customer contracts for anything about use of their data.
  5. Ask the programme how it de-identifies CRM data, and get it in the agreement.

04Your CRM vendor may already be training on it

HubSpot's help page says its AI model training setting is on by default, and Super Admins can switch it off. That's HubSpot using your data for its own AI, separate from licensing your data to a programme, but worth checking while you're in your settings.

05Better places to start

CRM data is valuable but heavy on personal data. Wikis and SOPs and ticket history are usually simpler. Take our free fit check to see which programmes you're likely to match. The programme decides.

06Questions people ask

Is my CRM data mine to sell?

The records of how you sell are yours. The personal data of your contacts is something you hold under UK GDPR, not something you can freely pass on. Data from vendors is governed by their licence.

Can we license contact lists?

Don't. Licensing named contacts to a third party for AI training is very hard to justify under UK GDPR, and bought lists usually forbid resale.

Does HubSpot already use our data for AI?

HubSpot's help page says its AI model training setting is on by default, and Super Admins can switch it off. That's separate from licensing your data to a programme.
